DCP Welcome and Schedule of Meetings in September 2007

A warm welcome to all of you to the inaugural year of Duvall’s first cooperative preschool!

First of all, we at the Interim Board of Trustees at the Duvall Cooperative Preschool would like to thank all of you for your confidence and support in our fledgling endeavor.

We are very happy to inform you that because of your support, from a starting group of only three parents and our liaison from Lake Washington Technical College, Ms. Marion Holland, we now have a healthy cooperative of 18 parents, 20 children and two teachers!

Now, on to business!

We will be kicking off the school year with four meetings that will give you the chance to dive right into the gist of what it means to be in a co-op, and a brand new one at that.

We know that this may be a little overwhelming but we feel that they are necessary to ensure that our new preschool begins on the right footing.

The meetings are:

Meet & Greet on Sept 6th 2007 7pm.
Venue: DCP
This will be DCP’s first parent meeting where you will get to meet the teachers, receive your Orientation Packets that will include your work schedules, committee assignments, parent handbooks, plus a bunch of lovely forms you will need to complete and submit to us by Sept 10th. Please bring your September tuition checks to this meeting.

Meet the Teachers Sept 10th 2007 (2s class, 9.30am – 10.30am with Ms. Helen Deems; 3s/4s class 12.30pm to 1.30pm with Ms. Ninder Purewal Gill).
Venue: DCP
This is when your children will get to meet their new teachers and have a ‘play’ class for one hour. Children will also get to meet their new friends and to familiarize themselves with their surroundings.

Also, please remember to bring all the forms that need to be signed in your Parent Orientation Packet given to you at the Meet & Greet and give them to the teachers on this date.

Board Elections and Risk Management Meeting Sept 13th 2007 7pm.
Venue: DCP
This is a compulsory meeting for all parents to nominate and elect the seven positions to form the school’s founding Board of Trustees.

The positions include: President, Vice President, Registrar, Secretary, Treasurer and two Parent Leaders, one for each class. 

The duties and commitments of each board member are:

President
The President shall be the principal executive officer of the corporation and shall supervise and control all of the business and affairs of the corporation. S/he shall preside at all meetings of the members of the Board of Trustees and s/he shall perform all duties as may be prescribed by the Board of Trustees from time to time; provided, however, that the President shall not vote on issues before the Board of

Trustees except in order to break an existing tie vote. The President will obtain a majority vote from the Board of Trustees before entering into a legal contract on behalf of the Preschool.

Vice President
In the absence of the President or in the event of his or her inability or refusal to act, the Vice President shall perform the duties of President. When so acting shall have all the powers and be subject to all the restrictions upon the President. The Vice President shall also act as the chairperson of the standing committee for Special Events and Fund Raising.

Treasurer
The Treasurer shall keep or cause to be kept full and accurate accounts of the receipts and disbursements of the corporation. S/he shall receive and deposit all money and other valuables of the corporation in the name and to the credit of the corporation in such depository as may be designated by the Board of Trustees. S/he shall disburse or cause to be disbursed the funds of the corporation as directed by the Board. S/he shall render to the corporation, whenever required, accounts of all his/her transactions as Treasurer and of the financial condition of the corporation. S/he shall submit and cause to be transmitted to the Board of Trustees financial statements required by it.

Secretary
The Secretary shall keep all the minutes of the meetings of the members of the Board of Trustees in one or more books provided for that purpose. The secretary shall see that all notices are duly given in accordance with the provisions of the Bylaws as required by law. The secretary is to act as custodian of the corporate records, complete the school inventory every year at the beginning of the school year, plan the refreshment schedule for all board meetings, and in general, perform the entire duties incident to the office of Secretary.

Parent Leaders
A Parent Leader from each class will assist the members as necessary throughout the school year, set up work days, facilitate buddy parents and orient new members in the school activities. The Parent Leader will also serve as a liaison between the class and the Board.

Registrar
The Registration Chairperson will be appointed by the Board in November to serve a term of office starting in January and ending the following February, after helping the incoming Registrar with registration. The Registration Chairperson will discuss the philosophy of the Preschool with prospective members, register all new members and collect registration fees. S/he will check school answering machine for messages. S/he will arrange publicity for the Preschool and implement public relations activities. The registrar must also act as the School Blog Manager, maintaining the preschool’s website. S/he will maintain Preschool class lists, perform quarterly backups and ensure current files exist on the Preschool computer at year-end.

The election will be based on a simple majority.

Apart from electing your Board of Trustees, you will also need to vote on DCP’s set of bylaws and budget. A copy will be sent to you for your kind perusal before the Elections.

DCP’s 1st Parent Education Meeting Sept 20th 2007 7pm.
Venue: DCP
Ms. Ninder and Ms. Helen will be conducting Parent Education meetings for their respective classes. You will discuss and choose with them the topics you want to discuss throughout the year. It will be a good idea to email topics you’d like to see throughout the year to your teachers ahead of time. Attendance is compulsory.

October tuition checks will be due at this meeting.

As mentioned, we understand that these meetings create a rather busy evening schedule in September but note that this is only for our first month. We hope that you will attend them so as to ensure a smooth beginning for the school.
